Designing a booking page for international clients
A consulting team in Istanbul is arranging a first conversation with an overseas customer. Writing only “Does 15:00 work?” does not establish that everyone means the same moment. Before showing available slots on a website, make the date, time zone and confirmation state understandable to both parties. The appointment used below is an interface example, not a real booking.

Distinguish a request from a confirmed appointment
If the team’s calendar is not maintained reliably, letting a visitor select an apparently final appointment can create the wrong expectation. Collect an availability request and explain that the team will respond. When booking is connected to live availability, verify exactly when the selection becomes final and how competing requests are handled.
Put the purpose and duration of the initial meeting beside the control. “Book a conversation” and “Get a quote” make different promises. A free introductory call should not be confused with paid consulting; the business must supply the actual service conditions.
Make the time zone visible and changeable
Do not silently rely on a detected browser time zone. Display the selected region and let visitors change it. Someone travelling may have device settings that differ from where they will attend. Showing a day, written month and year can also reduce ambiguity between numeric date conventions.
Google Calendar’s help explains conversion to UTC and display in local time, while noting that changes in time-zone rules can affect existing events. Test a date-aware calendar implementation rather than manually coding a fixed time difference between locations. The region and the chosen date both matter.
Agree availability boundaries before opening the calendar
Decide working hours, holidays, preparation time between meetings and limits on last-minute bookings with the team. Opening every empty minute can ignore the time needed for preparation or existing commitments. One person being available does not establish that everyone required for the meeting can attend.
Connect only the calendars needed for the booking flow. Show available slots without exposing internal event titles. If different employees can receive bookings, identify the assigned person in the confirmation. Review what becomes visible before distributing a public booking link.
Inspect the confirmation summary
Include the change route in the first confirmation
A confirmation should bring together the date, time zone, duration and joining instructions. Make it clear which appointment a cancellation or rescheduling link changes. If a customer moves the meeting while the old invitation still appears valid, the flow remains incomplete. Treat invitation updates as part of the same delivery.
Do not label a pending request as a confirmed appointment. Avoid presenting a successful notification when sending has failed. Also test any joining control shown before a meeting link has been created; a polished button is not evidence of a working destination.
Check two regions and two dates
View one test appointment from the team’s region and another region. Repeat with a date in a different season instead of relying on today’s offset. Move the appointment and confirm that the earlier invitation updates. Cancel it and check whether the released slot becomes available according to the intended rules.

Can we start with a contact form rather than a calendar?
Yes. If availability cannot be verified automatically, a meeting request followed by team confirmation can set a more accurate expectation.
Is a country flag enough to indicate the time zone?
No. A country may contain multiple time zones. Show the region and the time for the selected date, and let the visitor check or change the selection.
